# Install Mail Rocket

Mail Rocket offers seamless integration with Google Sheets, allowing you to launch email marketing campaigns directly from your spreadsheets. Follow these steps to install Mail Rocket for your Gmail account:

### **1. Go to Google Workspace Marketplace**

# Mail Rocket Tutorial

Learn how to launch your first mail merge campaign with Mail Rocket right within Gmail.

### **1.** Prepare an Email Contact List in Google Sheets

Begin by creating a new Google Sheet or using an existing one. Create a header row containing column header names such as name, email address, and other details of the recipients.

### **How to check mail merge status in Google Sheets**

After sending emails, a "**Mail Merge Status**" column is created in your spreadsheet, indicating whether emails were sent successfully, opened, or clicked.

* **SENT**: Indicates that the email was sent successfully.
* **OPENED**: Indicates that the recipient opened the email.
* **CLICKED**: Indicates that a link within the email was clicked.
* **UNSUBSCRIBED**: Indicates that the recipient has unsubscribed.

### Open Tracking report

Once all emails have been sent, Mail Rocket generates a comprehensive tracking report that shows the number of emails sent, opened, clicked and unsubscribed.&#x20;

Access the tracking report conveniently from the Add-ons menu under extensions > Mail Rocket: Mail Merge For Gmail > Open Tracking Report.

The tracking report sidebar provides insights into open and click rates:

* **Open Rate**: Indicates the percentage of emails that were opened by recipients.
* **Click Rate**: Indicates the percentage of emails containing clickable links that were clicked by recipients.

**Refreshing Stats:**

To update the tracking stats in the report, simply click the refresh icon located at the bottom left corner of the sidebar.

**Accessing Tracking Data:**

The tracking report displays data from the first "Mail Merge Status" column in the spreadsheet. To view tracking data from previous campaigns, select the "Mail Merge Status" columns accordingly.

**Accuracy of Email Tracking:**

Mail Rocket tracks opens and clicks in real-time using industry-standard methods, such as adding a small image (1x1 pixel) to each email. However, email tracking accuracy may vary due to email providers' policies on image loading and privacy settings.

* **Open Tracking**: The accuracy of open tracking depends on email providers' behavior regarding image loading and privacy settings.
* **Click Tracking**: Each tracked link is uniquely identified to your account, ensuring accurate click tracking while preserving email deliverability.


# Personalized email templates

To create a new email template, start a new mail merge campaign by going to **extensions -> Mail Rocket: Mail Merge For Gmail -> Create a new Mail Merge Campaign** in your Google Sheet.

### **How to Personalize Email Content**

1. **Set Up Your Google Sheets Spreadsheet**:
   * Open a new Google Sheets spreadsheet and add your contact list, ensuring each recipient's email address is in a separate row.
   * Include columns for personalized variables (e.g., first name, guest, topic, city, conference).
2. **Insert Personalized Variables**:
   * Use merge tags (e.g., {{ firstname }}) in your email content to dynamically populate personalized data from your spreadsheet.

In the Email Template section, click "Create Email Template". Mail Rocket's advanced rich text email editor opens. Design your email template.

### The Editor Interface

1. **Text Size:** Heading (H1, H2, H3, H4) and normal body text are available.
2. **Links:** Add links to your email template.
3. **Attachments:**  Insert various file attachments like PDFs, Word documents, images, and more
4. **Variables:** Insert any sheet column as a variable. This will replace the variable with the value present in that column for the current row. Eg: {{ name }}.

# Preview emails

Mail Rocket lets you preview your emails before sending them out. Previewing emails is essential for detecting any issues and ensuring a successful merge.

### **Steps to Preview Your Emails**

* Click on "**Receive test Email"** to send a test email to your own email address. This allows you to check and preview the email exactly as it will appear to recipients.


# Unsubscribe Link

Including an unsubscribe link in your emails allows recipients to opt out easily, reducing the likelihood of your emails being marked as spam.

### **How to Include an Unsubscribe Link**

Open Mail Rocket and create a new email template or edit an existing template.

* Go to **extensions -> Mail Rocket: Mail Merge For Gmail -> Create Mail Merge**

### **How to Attach Large Files (larger than 5 MB)**  using Google Drive link.

Mail Rocket Supports Google Drive links as attachments.

* Create a new template or edit an existing template.
* Select text which needs to be hyperlinked. For example, in the screenshot below "list of holidays PDF" is selected.
* Then, click on "**Add Link**" button as shown in the screenshot below.

* Make sure the link is publicly accessible or the recipient has access to the file.
  1. Upload your file to your Google Drive.
  2. **Right-click** on your file.
  3. Go to "**Share**", then click on "**Share**".&#x20;
  4. Under "**General access**", select "**Anyone with link**".
  5. Copy the link that Google Drive gives you.
* Enter a Google Drive link in the popover as shown in the screenshot below.

* Launch Mail Rocket and navigate to the email template section.
* Go to **extensions -> Mail Rocket: Mail Merge For Gmail -> Create Mail Merge**

# Add Cc, Bcc and Reply-To

In Mail Rocket, you have the flexibility to include Cc (Carbon copy), Bcc (Blind carbon copy), and specify a Reply-To address when sending out your email campaigns. These features enable you to manage additional recipients and streamline communication. Here's how you can use them effectively:

### **Prepare Your Contact List**

Start by preparing your Google Sheets document containing your recipient list for the email campaign.

### **Add Cc** recipients

* Within your spreadsheet, insert a new **column labeled "cc"** to specify Cc recipients.
* In the "cc" column, input the email addresses of the recipients you wish to include as Cc recipients for each corresponding row.

### **Adding Bcc Recipients**

To include recipients as Bcc (Blind carbon copy), follow similar steps as adding Cc recipients:

* Within your spreadsheet, insert a new **column labeled "bcc"** to specify Bcc recipients.
* In the "bcc" column, input the email addresses of the recipients you wish to include as Bcc recipients for each corresponding row.

### **Setting a Reply-To Address**

* Within your spreadsheet, insert a new **column labeled "replyto"** to specify  Reply-To Address.
* In the "replyto" column, input the  Reply-To email address.
* All replies to your campaign will be directed to the specified Reply-To address, allowing you to centralize responses.

### Disabling Cc, Bcc and Reply-To

If you have prepared a contact list with Cc, Bcc, or Reply-To columns but prefer not to use these options during your email campaign setup, Mail Rocket allows you to disable them easily.

# Add multiple recipients

Mail Rocket offers the flexibility to send emails to multiple recipients simultaneously, including the option to add multiple Cc (Carbon copy) and multiple Bcc (Blind carbon copy) recipients. Follow these simple steps to include multiple recipients in your email campaigns:

In the email column containing the list of recipients, input the email addresses of all recipients you wish to include, separated by commas.

Mail Rocket allows you to include personalized hyperlinks in your email campaigns, directing each recipient to a unique URL. Follow these steps to create and integrate personalized links seamlessly:

### **Use the =HYPERLINK Formula in Google Sheets**

Create or open your Google Sheets document containing your recipient list.

* Insert a new "**link**" column to your contact list
* Use the `=HYPERLINK` Formula
* For Example, `=HYPERLINK("https://example.com", "Visit Example Website")`

### How to add Personalized Attachments

Create or open your Google Sheets document containing your recipient list.

* Insert a new "**attachment**" column to your contact list.
* Upload your file to your Google Drive.
  * **Right-click** on your file.
  * Go to "**Share**", then click on "**Share**".&#x20;
  * Under "**General access**", select "**Anyone with link**".
  * Copy the link that Google Drive gives you.
* Enter a Google Drive link in the "**attachment**" column of the respective recipients as shown in the screenshot below.

# Filter recipients

Mail Rocket allows you to filter your contact list and send targeted email campaigns to specific segments.&#x20;

* Open the Google Sheet containing your contact list
* Click on the row number "1" to select the entire first row of your spreadsheet.

Mail Rocket Premium lets you send up to 2000 emails per day. But this depends on your Google account type.

In order to safeguard against spam and maintain account security, Gmail limits the number of emails you can send per day as follows:

* **Google Workspace** (formerly G Suite) accounts are limited to **2000 recipients** per day.
* Regular **Gmail accounts** (@gmail.com) are limited to **500 recipients** per day.

# Template mismatch

When previewing an email template or sending/scheduling a campaign, Mail Rocket validates the selected template in the background. If any variable in the email template is missing from your contact list, it will display a "Mail Merge Issue - Template Mismatch" warning.

### How to fix "Empty variables detected"?

In the above screenshot, empty variable detected is **{{ namp }}.** This means column **"namp"** is missing from your contact list.
